In this blog I will discuss the many benefits and the details of using TimeCatchApp for your document storage needs. Using current systems of workflow management users need to keep track of more than one system for managing their time at work and for document storage leading to inefficiencies both while storing documents as well as in getting access to them. The documents are not directly connected with the projects or tasks so you need to be self-disciplined in maintaining directory names etc which may not always happen resulting in problems.  Another key benefit TimeCatchApp offers is the availability of an audit trail for documents so you will have a record of the document beginning from its origination.

TimeCatchApp offers a one-system solution in which you can manage your workflows and efficiently store and access documents related to those workflows along with audit trails for each document created. You can also easily and securely view your documents and share them with your team members and clients. 

TimeCatchApp lets you attach and view documents both at the project level and at the task level.

Attaching and viewing documents

From the dashboard documents are attached at the task level by editing the task and attaching the document and then you can view them by clicking on documents.

A document symbol next to the task name alerts you that there are documents attached to a particular task. You can view the documents by clicking on the symbol or you can click the  action menu item documents and you’ll get to a page that will show you all the documents attached to that task. You can upload new documents here as well.

At the project level by clicking on View Documents in the action menu, you’ll see all the documents of all the tasks in that project.

Editing and sharing documents

When you click on the action menu, there’s a replace option, a share option, and a delete option.

When you click on the replace option the documents you currently have will be replaced with your new uploaded document and the old document will no longer be there.

You can share documents with as many  recipients as you like by typing in their email address and clicking on the red button to add more, and then seamlessly send an email from TimeCatchApp with the attached document to the team or client.  So sharing documents is very easy.in TimeCatchApp since all you have to do is type the email address and the attached document goes to the recipient. Plus the document is very easy to find because it is attached to the task it is associated with within the project. You go to the project and you find the task that was associated with that document and it will be easily accessible right there. 

Further, you can delete the document by clicking on delete, and then as a safeguard you have to confirm your request to delete, because once you delete a document it will be permanently deleted from the system. 

You can also view and upload documents and you have the same options to replace, share and delete documents at the project level.
