Adding consultant to team
People-first overview

What Areas Workflow Management Helps Solve

Zero Friction Onboarding

f you are hiring a solo consultant who already uses TimeCatchApp, you can add them to your project team in seconds. There is no need for them to learn a new system or create redundant credentials.

The Benefit: Your project starts immediately. By selecting "Add existing users," you pull their expertise directly into your workflow without administrative delays.

Unified Reporting, Independent Practices

When a solo consultant joins your company on a project basis, their billable hours flow directly into your project’s financial reports and audit trails.

The Benefit: You maintain a single "Source of Truth" for the entire project team. You see their progress, their logged time, and their attached documents alongside your internal staff, while they remain autonomous business owners.

KAccountability for Hybrid Teams

Trust is the currency of consulting. When you bring an external expert into your TimeCatchApp environment, every action they take is recorded in the Immutable Audit Trail.

The Benefit: You can provide your client with a comprehensive report of work performed by the entire team, regardless of their employment status. This level of transparency justifies premium rates and eliminates billing disputes for hybrid teams.

Flexible Resourcing for Boutique Firms

Small consulting organizations can now punch above their weight class. By easily adding and removing specialized solo consultants on a project-by-project basis, you can take on larger, more complex engagements.

The Benefit: You gain the agility of a freelancer with the structural power of a large agency. Scale your workforce up for a big contract and down once the deliverable is met, all within one unified interface.

Use case

Use Case: Building the "Virtual Agency" for High-Value Contracts

The Scenario: A boutique consultancy wins a large-scale Clinical Trial Data Audit. To execute, the firm owner needs to bring in two highly specialized independent consultants: a Biostatistician and a Quality Compliance Officer, to work alongside their internal Junior Analyst.

1. Enterprise-Grade Onboarding (Zero Friction)

Instead of setting up new email servers or separate project management logins, the firm owner uses the "Add existing users" feature. Within minutes, the two outside experts are pulled into the "Clinical Trial" project.

The Benefit: To the system and the client, these experts appear and function as internal team members. They have the same access to tasks, the same "Clock In" accountability, and the same reporting structures as a full-time employee.

2. Unified Workflow & Quality Control

The firm owner sets up a dependency: the Biostatistician cannot start the "Final Analysis" task until the Compliance Officer has uploaded the "Regulatory Framework" document to the predecessor task.

The Benefit: The owner maintains total managerial control. They don't have to manage the external experts via separate email chains or "hope" they are working on the right files. The workflow treats the external expert exactly like a staff member, ensuring high-quality output.

3. Real-Time Resource Oversight (The Unified Ledger)

As the Biostatistician clocks into the project, their billable hours appear instantly on the firm’s Project Time Report and Live Ledger.

The Benefit: The firm owner sees a unified view of the project's burn rate. They don't have to wait for the freelancer to send a separate invoice at the end of the month to know if the project is still profitable. This allows for employee-level financial transparency for non-employee resources.

4. The "Single-Voice" Client Delivery

When it’s time to bill the client, the firm owner generates one unified invoice. It includes the Analyst’s hours, the Biostatistician’s hours, and the Compliance Officer’s hours—all itemized professionally.

The Benefit: The client receives a single, cohesive deliverable and bill from the firm. This professional consistency masks the complexity of the hybrid team, making the small firm look like a much larger, fully-staffed enterprise.

Team member onboarding

Onboarding a new team member is easy and quick. On the Management tab, click into your company. From there, select users, and add.

If users already have TimeCatchApp account, click on "Add Existing Users".

If users need to have an account created for them, click on either "Manual" or "Batch Upload". Manual is best if you have only 1 or 2 people to add. Batch upload is better for multiple people. Add the information to a CSV file (template provided) and upload. Accounts are now created. Users will need to accept, and you can now collaborate.

Compete with a larger team

Using the simulation calculator, larger organizations can compete on price more effectly than smaller ones at the same margin. Because of this, smaller organizations need lower overhead costs. Flexibility to add talent to your organization means that you effectively have a larger organization, but with the additional benefit of lower costs.

The Benefit: You have the benefits of a larger organization--higher average utilization, more specialized talent, ability to bring on more people for large rush projects--without the expensive, fixed costs. You get the best of both worlds.

Core Workflow Software Capabilities

Task organization and prioritization

Structure works around what matters most, not just what appears first. Better prioritization curbs the tendency to react rather than plan, allowing for improved focus.

Start and due date notifications

Support stronger planning with better visibility into when work should begin and when it needs to be completed.

Task-level tracking

See what is moving, what is delayed, and where accountability needs to be reinforced at the task level.

Billable and non-billable visibility

Distinguish between work that supports revenue directly and work that supports delivery behind the scenes.

For teams that want tighter visibility into how work is performed alongside task progress, a dedicated time tracking tool can help connect workflow activity with actual hours spent.

Team communication

Keep more of the work context connected to the work itself so teams can reduce confusion and maintain momentum.

Connected operations

Bring workflow into a broader operating environment that also supports time tracking, documents, and invoicing.

When teams need supporting files, notes, and project materials to stay connected to active tasks, document management software can help keep workflow context more organized and accessible.

For service-based teams, workflow management becomes even more useful when completed work can flow more cleanly into invoicing software that supports billing and financial follow-through.

Helpful Workflow Practices For Professional Teams

Define Responsibilities Early

Clear ownership makes it easier to reduce bottlenecks and keep tasks moving through the right sequence.

Keep Workflows Simple

Overly complicated setups create friction. Start simple, then refine based on how teams actually work.

Build Repeatable Routines

Recurring work becomes easier to manage when the same steps, timing, and responsibilities are visible each time. Even outside software, process-flow improvements have long been associated with productivity gains. NIST’s process flow productivity example offers a useful real-world reference point on how better process design can support efficiency.

Distinguish Between Billable and Non-Billable Work

Both financial awareness and operational visibility can be enhanced by comprehending the nature of the work being executed. Additionally, this invoice automation software guide is available to teams seeking a more comprehensive operational perspective on invoicing efficiency, exceptions, routing, and approvals.

Keep Files Attached To The Work

Tasks become easier to manage when the supporting documents and project context stay connected.

Review Work Before It Stalls

Small delays become bigger delivery problems when bottlenecks are not visible early enough.

Still Have Questions? We Have Answers!

Is the time that external team members log tracked like internal members?

Yes. There is no difference to the reports, nor to your clients.

What is an advantage to everyone using the same system?

You have consistency, collaboration, communication, invoicing, all integrated together for all team members. This will reduce your costs while maintaining capabilities.

Can the external team members invoice me through the same system?

Yes. They would treat you like a client, and you will have a client account for their company. It can also work in the opposite direction simultaneously. Think of a web of consultants who band together to land larger projects.

Why use TimeCatchApp for Team Management?

TimeCatchApp doesn’t just track time; it facilitates professional relationships. By allowing you to seamlessly integrate solo consultants into your firm’s infrastructure, we empower you to build the "Dream Team" for every client, every time.

How does this affect security of data?

In a traditional system, files are scattered across different organizations, different clouds, in emails, Slack channels, etc. That is a security nightmare. Using TimeCatchApp, all work stays in your project vault. Secure, without needing to be transferred across open email channels. TimeCatchApp uses industry standard security to keep the data safe with backups to off-premises hyperscaler cloud provider.

The app works best on Google Chrome, Brave, Firefox, Edge and similar browsers.
You might see problems on Safari. We recommend you switch to a compatible browser from the list above.
